FAQs on Vendor Registration

1. Is vendor registration compulsory on e-Procurement portal? Yes. Vendor Registration is compulsory on e-Procurement portal.

2. How do I register on e-Procurement portal? Go to eproc.ikdrcits.org/eproc fill up online form using "Register" link. You can register with your preferred email id (User ID) and mobile number.

3. Do I get confirmation mail after registration? Yes. During Vendor registration process you will be notified via email communication. For all notification you should have access to the email account registered during vendor registration.

4. Will I be able to update my profile after vendor registration? Yes. After registration, you can also modify / update the profile through "Edit Profile" link.

5. Can I update my registration information? Yes. You can modify / update the registration information after log-in under "Edit Profile" link.

6. Can I change / modify my Password? Yes. If you want to change the password, you can change it. Password can be changed after login using "Change Password" link)

General FAQs

1. How do I log on to e-Procurement portal once I get registered? Once your email id is verified, you will be provided password. Using your registered email id and provided password, you can login to the e-Procurement portal. The login option is available on the home page of eproc.ikdrcits.org/eproc

2. What if I want to access my e-Procurement account on a different computer? You can access your e-Procurement account anywhere in the world. You need only internet connection to access this portal.

3. Is the password secured? Password is encrypted at the database level. As a part of the security policy, we advise you to change the password frequently.

4. How do I change my password? You can change your password by clicking on "Change password" link after login.

5. What to do if I forgot the password? You have to click on the link of "Forgot Password" on the home page of the portal. When you click on this it will ask you to enter your registered email id with this portal. When you will provide the registered email id the system will prompt you to set the new password.

6. Is my information on e-Procurement portal secured? The information provided by you is 100% secured. The data and sensitive information provided by you is used only by the respective departments for the purpose of evaluation and awarding. And crucial data is also stored in a encrypted format.

The security features incorporated in the application ensures that all activities are logged and no unauthorized person has access to the data.

Even the architecture is developed in such a way that a user (Officers) also cannot view the RFX Response from any vendor till the date & time specified during notice creation for the opening of the RFX Response.

7. What is the Password Policy? You have to set your password with minimum 8 characters length including at least one special character (like! / @ / # / $ / % etc.) and one numeric (0-9) character.

You can not set any previously set password as new password.

FAQs on Tendering Activity

1. How do I know that a tender is published? You can find the same on the home page of eproc.ikdrcits.org/eproc and also you will be notified via email notification.

2. Do I have to pay for the tender documents ? a) Check with the Buyer department. Few departments insist Vendors to remit the cost towards Tender Form Fee and then obtain the tender documents.

b) Some departments allow you to download the tender documents at the time of online request itself. Initially all the tender documents are issued free of cost, but while submitting the tender, you need to enter the DD details of Tender form fee, etender processing fees, wherever applicable.

3. How do I submit my tender documents to the department? The tender documents can be downloaded from the e-Procurement portal. You have to fill the tender documents as per the requirement and along with EMD and submit online along with the scanned documents mandatory for the tender.

4. Can I download the drawings related to the tender if any? Yes. Since drawings are part of the tender document, while downloading the tender document, these drawings can also be downloaded.

5. How do I submit the EMD? BG/DD taken for EMD to be scanned and scanned copy should be attached to the tender during submission. The originals should be handed over to the department before tender opening.

6. How do I upload and attach my additional certificates to the tenders? You can upload all your certificates or documents through "Upload Documents" link.

7. How do I confirm my tenders are submitted without any problem? Once you submit your tender, you will be provided with an acknowledgement along with list of submitted documents which confirms that your tender has been successfully submitted in the portal.

8. Can I resubmit the tender repeatedly till the tender submission or closing date? You can prepare your technical and commercial bid and you can edit the tender any number of times till the tender submission or closing date.

9. If I change my bid after initial submission, do I need to click "submit" button once again? Yes. Whenever you change your submitted bid, you should click "submit" button compulsorily to file the fresh bid to the tender. If you fail to do so, the previously filed bid will be considered during evaluation.

10. How will I come to know that my bid has been opened? On the opening date, you can login and see the tender opening reports if the result is shared by the officer.

11. How should I confirm my tenders are not opened by any third party before the date of opening? The system does not allow your bids to be opened before the due date specified in the tender notice. The Tender Inviting Authority is given the rights to open the tender using through valid credentials.

12. Can I view the proceedings of opening of technical bid? Once the tender is opened, you will view the competitors bid sheets under the "Technical bid result and commercial bid result".

How much is the document loading limit is provided to me for upload documents? You can upload document with maximum file size of 10MB per document.

Important points to remember

1. Always provide correct email id during registration otherwise you will not be able to register with the portal.

2. Bidders are requested to make note of dynamic time being displayed on e-Procurement portal to ensure that the RFX Responses are submitted on time.

3. Try to avoid responding during the last minutes. Try to submit your RFX Response in proper time.
